How to use it well
- →Never put reasons in the letter — it is a permanent record, and every reason ages worse than none. Save honest feedback for the exit interview, if you choose to give it.
- →State the last day as an exact date, not "two weeks from now"; the letter is the document HR calculates from.
- →Deliver it in person or on a call first, then send this as the paper trail — no manager should learn from the letter.
Part by part
- My last working day will be {{last_day}}
- The date, stated plainly. It is the fact the document exists to record, and ambiguity about it causes problems for payroll and handover alike.
- in line with my notice period
- References the obligation, which pre-empts a dispute about whether notice was correctly given.
- I'm committed to a smooth handover
- The offer that shapes how the notice period goes. It costs nothing to write and changes the tone of the entire conversation.
- Thank you for the opportunities I've had here
- A neutral closing regardless of circumstances. A resignation letter is a permanent record and frequently a reference check.
Common mistakes
Explaining why you are leaving in detail.A resignation letter is a formal record, not the exit interview. Criticism in it is permanent, is read by people who were not involved, and forecloses the conversation where it might have mattered.
Omitting the last working day.It is the one piece of information the document has to contain. Without it, notice has arguably not been given, and the ambiguity is resolved in whichever way suits the company.
Resigning by email without telling your manager first. The letter records a conversation that should already have happened. Finding out by email is a needless discourtesy and colours the notice period you still have to work.
Questions
How much notice do I have to give?
Whatever your contract says, which is the reason to check it before writing rather than after. Statutory minimums exist in most places and contractual periods are frequently longer.
Should I say where I am going?
Not in the letter. It is a formal record that circulates further than you expect, and mentioning a competitor can affect how the notice period is handled.
What if I am leaving because of a problem?
Keep it out of the letter and raise it in an exit interview if you want it heard. Written criticism in a resignation is remembered as the last thing you said and rarely produces the change it describes.
Do I need a letter at all?
Usually yes, even after a verbal conversation — most employers require written notice, and it protects you by fixing the date. It is a formality worth completing properly.
